GENERAL CONDITIONS OF SALE

General

The general conditions are valid for the provision of the hotel's conference and banquet rooms, for the organization of events, as well as for all other related services and deliveries. They form an integral part of the quote or invoice. The general conditions of sale of the hotel prevail over the general conditions of purchase or of the reorganizing customer. The general conditions apply as below.

 

SECTION 1: Reservation confirmation


The general conditions are valid for the provision of the hotel's conference and banquet rooms, for the organization of events, as well as for all other related services and deliveries. They form an integral part of the quote or invoice.
The general conditions of sale of the hotel prevail over the general conditions of purchase or of the reorganizing customer. The general conditions apply as below.

SECTION 2: Organization of the reservation

 

2.1) Rooms

The Client must send in writing (fax, email or post) to the establishment concerned, the list of names of participants in the convention and the allocation of rooms, no later than 8 days before the planned arrival date. The reserved rooms are made available to beneficiaries from 4 p.m. on the day of arrival. Rooms must be vacated no later than 11 a.m. on the day of departure, any delay beyond this may result in the billing of an additional night at the displayed public rate.

 

2.2) Restaurant

The Customer must specify in writing (fax, email or post) addressed to the establishment concerned the exact number of seats planned for each meal 8 working days before the start date of the event. The reduction in the number of participants is considered as a partial cancellation of the reservation giving rise to the application of the article of these conditions. The Customer must confirm their choice of catering (menu, buffet, cocktail, etc.) no later than 8 working days before the date of the event. Beyond that, the hotel reserves the right to impose a choice in the category chosen by the customer.

2.3) Provision of spaces:

The Client must inform the establishment concerned before the date of the event of significant changes in the number of participants in the event. In any case, if the number of participants turns out to be lower than the number provided for in the estimate, the Client could be allocated another space than that initially planned, for reasons inherent to the management of the establishment.

2.4) Modification of the number of participants:

 

Reducing the number of participants is considered a partial cancellation of the reservation, whether for accommodation, catering or rented spaces. If the number of participants turns out to be greater than the number indicated on the quote, the provision of spaces will only be confirmed after receipt of the additional deposit corresponding to the reservation differential.

 

SECTION 3: Modification of services:

Any request for modification of services in relation to the accepted quote must be sent in writing to the establishment concerned. In the absence of written acceptance from the establishment within 8 days of receipt of the request, the contract is deemed to continue according to the terms and conditions determined in the quote accepted by the Customer.

 

SECTION 4: Cancellation:

Flexible Rate: 100% of the total amount including tax of services will be invoiced if cancellation occurs less than 3 days before your arrival.

Non-Refundable Rate: No cancellation is possible. 100% of the total amount of services will be invoiced. In the event of a partial cancellation, the above amounts will be retained or billed in proportion to the number of people canceled. In all cases, for personalized quotes, the requested 30% deposit can never be returned in the event of cancellation.

 

SECTION 5: Price-Payment:

5.1) Deposits:

Any reservation that has been the subject of a personalized quote for an event or seminar must, to be registered, be subject, at the time of signing the quote, to the payment of a deposit of 30% of the total amount including tax of the benefit. For other reservations (online, by telephone, in person, and by email):

Non-Refundable Rate: 100% of the stay will be charged upon confirmation of the reservation.

Flexible Rate: No deposit is required

 

5.2) Price/Payment:

Prices are expressed in euros. They are firm for 1 month from the date the quote is sent to the customer. After this period, they may be modified depending on economic conditions. Prices are increased by tourist tax. They may be modified in the event of legislative and/or regulatory modification, likely to result in price variations such as modification of the applicable VAT rate, introduction of new taxes, etc.… Payment for services must be made within 20 days of receipt of the invoice.

 

5.3) Individual regulations: Payment for extras (laundry, minibar, telephone, etc.) and other services requested individually from one or more participants will be handled directly by the participants concerned at the reception of the establishment before their departure (individual payment) In the absence of payment by one or more participants of services requested in addition to the services included in the estimate (extras, meals, etc.), the invoice will be sent to the Client who undertakes to pay it no later than 5 days from the date of the bill.

SECTION 6: Street sales 

 

The Client undertakes to provide the hotel with the obligatory written municipal authorization, at least 15 days before the start date of the event, when the rental of the premises is for the purpose of retail sales or taking orders for goods. preceded by advertising. Under no circumstances may the rental exceed the duration indicated on the municipal authorization, sales cannot exceed 2 months per calendar year in the same establishment.

 

SECTION 7: Photographic report

The Client is requested to inform the establishment concerned in advance of the possible presence of a photographer and is personally responsible for obtaining all authorizations which may prove necessary.

 

SECTION 8: Copyright

The Client must be personally responsible for all declarations and payment of all rights, particularly to SACEM, for the broadcast of musical works and more generally any entertainment within the premises (orchestra, shows, records, etc.)

 

SECTION 9: Announcements and displays

All uses of the establishment's name and/or logo for advertisements and displays and any use of the client's name and/or logo in the establishment must be subject to written authorization.

 

SECTION 10: Discipline, loss and damage, liability and insurance: Good physical and moral behavior is essential. Acts likely to cause inconvenience to the public, cause disturbances or cause material damage are prohibited. The hotel warns any person who does not comply with the requirements of these regulations and, in extreme cases of agitation and poor behavior, will call on the security services. An inventory will be established before and after the event, a report will be written if users have damaged equipment. The cost of repairs resulting from this damage will be the responsibility of the client-organizer.
Under no circumstances can the establishment be held responsible for damage of any nature whatsoever, in particular fire, loss or theft likely to affect objects or materials left by the client or participants on occasion. of the service provided by the establishment. The Client must ensure safekeeping of the goods and materials brought by himself or the participants.

 

SECTION 11: Recommendations

The organizer undertakes to only invite people whose behavior is not likely to in any way harm the hotel, which reserves the right to intervene if necessary. You will not be able to bring in any drinks or food from outside unless a corkage fee has been established in advance.

 

SECTION12: Disputes 

Any complaint must be sent by registered return mail to the hotel concerned no later than 30 days after the date of departure from the hotel. After this period, no complaints can be taken into account. For any dispute which may arise from the interpretation or execution of these conditions, the dispute will be submitted to the Commercial Court of the place where the hotel is located.
